Data Quality Alerts – Update

We recently updated Data Quality Alerts. Here’s an overview of those updates.

Home Visitor column

We received suggestions to add a home visitor column to the Family and Child Assessment alerts. Now those alerts will show the home visitor assigned to that family/child.

New Alerts for PAT Records

We’ve added PAT Records to the menu of alerts to choose from. To turn on, the Main Admin would go to SETUP > DATA QUALITY ALERTS > PAT ALERTS. Then choose which records to turn on an alert for:

  • Family Information
  • Child Information
  • Guardian Information
  • Participation Agreement

These new alerts will show families that do not have a date of completion/review/update in the current program year.

New Alerts for Resource Connections and Goals

Also new alerts are available Resource Connections

  • Families with no Resource Connection
  • Families with a Resource Connection and no follow-up
  • Children with screening Resource Connections and no follow-up

The new alerts for Goals/Plans are

  • Families with no open Goals
  • Families that have an open Goal for a specific length of time

Child Exit Summary Report

The number of group events the child has attended is now reported

Child Service/Exit Record

Resource Connections and Goals for the child are summarized and included on this report.

West Virginia – Behavior Question

When the behavior question is updated on the PVR, the checkbox on the private contact will also be updated as checked.

Goals on the Planning Guide and PVR

The Goals section has been updated to show current goals that are progress. Create new goals, update existing, and add progress notes directly to your families’ goals from either record.

HITS Assessment – Comments

A comments box was added to the HITS family assessment

Supervision Records

The Supervision record will show the time and duration from the scheduled event.

Referral Sources

If you have your own referral sources that are no longer used, you can now consolidate referral sources to the national list.

Go to Setup > Referral Sources. Select “consolidate” for the referral source and choose the referral source from the national list to consolidate to.

Resource Connections

Read-only admins can now view individual Resource Connection records.

HFA Caseload Summary

This report has been updated to exclude inactive home visitors.

You asked… New assessments

There have been several assessments requested over the past few months. We’re working on getting these added into Visit Tracker. Here are the assessments released this week.

  • Adverse Childhood Experience (ACE)
  • Becks Depression Inventory (Becks)
  • Kindergarten School Readiness (KSR) – see additional details below
  • Parenting Stress Index – 4 (PSI-4)
  • Women’s Experiences with Battering Scale (WEB)

Reports are available for each of these assessments under Service Reports > Assessments.

Kindergarten School Readiness (KSR) Details

There are a variety of school readiness assessments being used as decided by school districts, community agencies, etc.

We’ve set up a generic “Kindergarten School Readiness” assessment allowing you to record the tool used and the score (if applicable). Currently, this assessment is included in the Family Assessments section and you can specify the guardian and child on the assessment.

For PAT programs, the APR will be updated to include this assessment in the outcomes section XII 5e.

You asked… Partnering With Teen Parents

The Partnering with Teen Parents curriculum has been added to the PAT Curriculum selection list.

On the Planning Guide and/or Personal Visit Record, select “Teen Parents” from the Curriculum selection list.

In Handouts Given, expand the Partnering with Teen Parents list to choose the handouts used for that visit.

Kansas KIDS Exports

The KS KIDS exports were updated for the 2020-2021 program year

Family and Guardian Labels

  • The guardian’s email address was added to the Family Labels report
  • A family status filter was added to the Guardian Labels report. The request was to be able to include Waiting List families when running the Guardian Labels. The Status filter allows you to select any group of families by status.

Report – Screenings Review

The Display filter was updated to give you better options on which children you want to review.

APR – Section II. Service Delivery – Prenatal

It was brought to our attention that this section should report subsequent pregnancies not just at enrollment. This was updated.

Here are some suggestions we’ve recently released and what’s coming soon.

GUARDIAN’S RELATIONSHIP TO THE CHILD

In the list of relationship options, “child” is no longer a selection item.

PAT programs will see “child” as a selection item on PAT’s form titled Family Intake Record. This may be due to differences in how individuals are entered in other data systems but it’s not necessary to have an item in Visit Tracker. So thank you for pointing that out!

PVR AUDIT TRAIL

An audit trail was added to the PVR in a past project but was only showing when viewing the printable version of the PVR. It was suggested that the audit trail should show on the editable version of the PVR as well. Here’s an example of what that looks like on the PVR.

CHILD SCREENINGS COMPLETED QUESTION

On each of the child screening records, the “…Screening Completed?” question is now required. When creating new records, the Yes/No selections will default to blank.

This suggestion came in due to this question often being overlooked resulting in screening compliance confusion.

UPCOMING SUGGESTIONS

Here are some of the items we have in our project schedule over the next few months.

  • PICCOLO – add a print version
  • PICCOLO – add individual scores to the report
  • Exit Summary report – add home visitor column
  • Updating exited families and children without having to reactivate

And one big suggestion that is currently in progress – Data Quality Alerts.

We often hear about the need to be alerted to missing data related to model compliance and MIECHV standards. There is the Reminders feature to help you know what is coming up. (Check out the Reminder Rules video if you haven’t already.) But that doesn’t cover the items that have been missed.

We’re working a menu of missing data alerts where your program can choose the items that are most important to you and help you with your everyday preparation in serving your families.

We’ll be sending out more details on this project as it gets closer to completion.
