HIPPY PVR – Recent Update

A recent update has been made to the HIPPY personal visit record (PVR).

Literacy Activity Survey

A new section was added at the bottom of the PVR allowing home visitors to record Literacy Activity Survey entries from the PVR and have the entry added to the Child Health Info > Literacy Activity Survey section.

When selecting “Yes” or “No”, new fields will open up allowing you to indicate the number of days for each child listed on the PVR. If “Yes” is selected, the entry will default to 7 but can still be manually changed.

Not seeing this on the PVR?

The section needs to be turned on by the account administrator.

Go to Setup > Preferences

Open up the Personal Visit Records section and select “Yes” for “Literacy Activity Survey on PVR” and then save.

A new field for Format

When recording the curriculum delivered at the home visit, choose what format it was delivered in. Selections are “Paper copy”, “PDF copy” and “HIPPY 3.0”.

You asked…Planning Guide & PVR Preferences

In the “You asked…” series, we’ll be highlighting those suggestions we’ve added to Visit Tracker. Keep asking and we’ll keep delivering.

With all the changes and additions in Visit Tracker, we received requests about hiding and showing fields on the Planning Guide and PAT PVR. You may have already noticed a PVR section in Preferences (Main Admins). Here are some settings being released this weekend addressing your requests. View the screenshot of the Preferences section at the end.

Secondary Curriculum and Other Plan

Recently, we separated Curriculum, Secondary Curriculum and Other Plan on the Planning Guide and PVR. This was a result of requests that came in due to some issues with Parent Handouts getting overwritten. But that also resulted in a longer Planning Guide and PVR.

Beginning next week, you’ll be able to control whether the Secondary Curriculum and Other Plan fields show on the Planning Guide and PVR (see screenshot below). Set them to “No” if you do not want to see them on your Planning Guide and PVR.

Child PVR Link

On the Contacts page, the child’s name has always linked to the Child PVR which is an older PVR. Some programs may still be using this PVR. But this has also created confusion when home visitors accidentally click on the child’s name.

Now you can control whether the child’s name is a link to the PVR or not. For HIPPY, PAT Affiliates and HFA programs, the child link is already disabled in your settings. So if you are using that PVR and the link is disabled, simply have your Main Admin go into Preferences and set “Disable Child PVR Link?” to “No”. And the link will be turned on.

Saving Planning Guide or PVR by Rescheduling a Canceled Visit

If you have a canceled or a no show visit, and have already completed the Planning Guide, you can save it and transfer it to your rescheduled visit. To do this, go to the Guardian Contact History and click the edit icon (the pencil) on the right.

This will open the edit contact page.  Change the contact type to either Canceled by Guardian, Canceled by Home Visitor or No Show.  If you select any other type of contact, your Planning Guide will be deleted!  If you have a snow day or if your office is closed for any reason, this is a canceled by home visitor. You can include notes on your rescheduled visit. Once you have selected to cancel the visit, click to Save at the bottom.

A warning box will open saying “You have a planning guide and PVR created for this contact. Do you want to save the planning guide and PVR data by rescheduling a private contact?” click “OK”. If you click to “cancel” it will DELETE the planning guide or PVR that is associated with that date.

Once you click “OK”, you will be taken to the Reschedule Contact screen.  Enter the new date and time, select the children and click to Save.

If you don’t have the rescheduled date yet, leave the visit as it is, until you have talked to the family and have a new date scheduled.
